At 5asideCHESS we're all about connection. We encourage people to meet, play, talk and learn something about themselves and the people they meet along the way.

We also believe in keeping things simple. We only want to collect the information we genuinely need and we want you to understand what we do with it.

This Privacy Policy explains what information we collect when you use the 5asideCHESS website, why we collect it and how we look after it.

Who we are

5asideCHESS is a UK-based social enterprise using a mini version of chess as a tool to bring people together, start conversations and help people build confidence, connection and life skills.

For the purposes of UK data protection law, 5asideCHESS is the data controller for personal information collected through this website.

Creating your 5asideCHESS account

You can create an account on the 5asideCHESS website to record your own journey of connection through play.

We deliberately keep the personal information we ask for to a minimum.

When you register, we ask for:

  • your first name;
  • your age; and
  • where you are from.

When we ask where you are from, we only need a general location such as your town, city or area. Please don't give us your home address.

Your account allows you to sign back into the website and continue recording your journey.

What you record on your journey

As you take your 5asideCHESS journey, you can record:

  • where you played;
  • pearls of wisdom you picked up from the people you met; and
  • your progress through your journey.

This is intended to become your own personal record of the people you have met, the conversations you have had and the things you have learned along the way.

Your journey is not public.

The information you enter is only visible when you are signed into your account. It can also be accessed by authorised 5asideCHESS administrators where necessary to operate the website, provide support, deal with technical problems, protect the security of the service and understand how the 5asideCHESS journey is being used.

We do not publish individual journey records on the website unless express permission has been requested and granted.

Pearls of wisdom and other people

Part of the 5asideCHESS journey is collecting pearls of wisdom from the people you meet.

When recording a pearl of wisdom, please don't include someone's surname, contact details, home address or other private or sensitive information about them.

We're interested in the wisdom they shared with you – not in collecting personal information about them.

If you record where you played, please use a general place or venue rather than somebody's private home address.

How we use your information

We use the information you provide to:

  • create and maintain your account;
  • allow you to record and return to your 5asideCHESS journey;
  • record your progress;
  • provide support if you have a problem with your account;
  • keep the website and journey platform secure;
  • understand how people are engaging with 5asideCHESS;
  • understand broadly where journeys are taking place;
  • measure the reach and impact of 5asideCHESS; and
  • improve what we do.

Where we use journey information to understand or report on the overall impact of 5asideCHESS, we will use aggregated or anonymised information wherever possible rather than identifying individual participants.

For example, we might want to know how many journeys have been started, the broad age ranges of people taking part, how many games have been played or the areas in which 5asideCHESS is being played.

We will only use personal information where we have a lawful reason to do so under UK data protection law.

Children and young people

5asideCHESS is designed to be enjoyed by people of different ages and we know that children and young people may want to record their own journey.

We therefore take particular care with their information.

We deliberately ask for very little personal information. We don't ask children to provide their surname, home address, photograph or other unnecessary personal details when creating their journey.

We also ask everyone recording their journey not to enter private or sensitive information about themselves or the people they meet.

Where parental or guardian consent is required under UK data protection law, we will obtain it before allowing a child to create an account.

We encourage parents, guardians and teachers to help younger children use the website safely.

Buying a 5asideCHESS set

5asideCHESS does not sell anything directly through this website.

If you choose to buy a 5asideCHESS set, you will be directed to the online shop operated by Cambridge Chess Forum, which uses Shopify.

Once you leave the 5asideCHESS website, information you provide in connection with your purchase is subject to the privacy arrangements of Cambridge Chess Forum and the services it uses.

5asideCHESS does not collect or store your payment card details through this website.

Cookies and website information

Like most websites, our website may use cookies and similar technologies to make the site work properly and understand how it is being used.

Some cookies are necessary for things such as signing into your account and keeping the website secure.

Your individual 5asideCHESS journey is not publicly available and we do not make your journey record available to other participants.

How long we keep your information

We will keep your account and journey information while you are taking part in your 5asideCHESS journey and for as long as it is reasonably needed for the purposes described in this Privacy Policy.

Where information has been properly anonymised so that it can no longer identify you, we may retain it to help us understand and report on the longer-term reach and impact of 5asideCHESS.

Keeping your information safe

We take reasonable steps to protect the information we hold from loss, misuse, unauthorised access or disclosure.

Access to individual journey information is restricted to the account holder and authorised 5asideCHESS administrators.

We also deliberately limit the personal information we collect. One of the best ways of protecting people's privacy is simply not to collect information we don't need.

Your rights

UK data protection law gives you rights over your personal information. Depending on the circumstances, these can include the right to:

  • ask us what information we hold about you;
  • ask us to correct information that is wrong;
